Description: This is a technical and professional position involving, analyzing documents, assisting customer with inquiries and the routine day-to-day functions of the Business Services Division. Job Functions and General Responsibilities: Providing excellent customer service in the Business Services Division by reviewing and receiving various filings and request. Utilizing a working knowledge of several different chapters of Missouri statutes as they relate to filings and assisting customers. Using a computer and software; including Windows, Microsoft Office and Business Services filing software applications. Answering escalated telephone inquiries and assisting walk-in customers. Corresponding with customers through the unit email account in a timely manner. Providing technical support for online business filers, and utilize a working knowledge of various internet web browsers. Interacting with state employees, officials of other agencies, and the general public. Monitoring workflow within their specific work group. Supervising employees within the work group (including, at a minimum, reconciling leave slips with time sheets, addressing staffing concerns during absences, assisting with technical and complex filing applications, reviewing customer correspondence as needed, and assisting in the evaluation of employees within the work group) Serving as a backup to other supervisors. Overseeing compliance with all internal office policies and procedures by the employees within their work group Fostering a sense of teamwork within their individual work group and the division. Fielding questions of all types from the employees in their work group Insuring appropriate division of labor within the work group. Being responsible for cross-training members of each work group so that they may substitute on other work stations in addition to primary filing desk. Communicating with the Deputy Director and Director of Business Services as to needs and problems within their work group and the division. Review notary complaints, conduct a preliminary investigation, and provide a summary of findings to the Director of Business Services and/or General Counsel. Commission elected officials. Knowledge, Skills and Abilities: Excellent organization skills, self-motivated, and able to prioritize work. Excellent oral and written communications skills. Thorough knowledge of Missouri law as it relates to the assigned work group. Flexible and well organized in order to expediently accomplish the assigned tasks with a high degree of accuracy. Ability to process all documents presented to assigned work group. Complete special projects and other duties as requested. Ability to follow instructions from supervisor(s) and direct employees. Foster open communication to resolve both internal and external problems and disputes which affect the corporation's unit. Provide training/processing support to unit employees. Qualifications: A high school diploma is required. A bachelor's degree or associates degree from an accredited college or university with preferred course work in the following: business administration, business management, paralegal studies, information systems management, human resources, or public administration is preferred. Relevant work experience which includes at least three (3) years actual experience working in the Business Services Division with proven track record of outstanding attendance, job performance, timeliness, reliability and production may be substituted for the educational requirement. Professional experience working with public notaries is preferred. Willing to work on progressively challenging tasks and assume leadership roles. Progressive knowledge and filing the more complex transactions. The above job description in no way implies that these are the only duties to be performed by this employee.
